The QuoteWerks and HaloPSA integration, initially launched in late 2024 and further enhanced in early 2025 based on valuable user feedback, is now even more powerful. This integration allows HaloPSA users to seamlessly leverage all the features of QuoteWerks, creating a streamlined sales process that delivers clean, accurate, and professional quotes and proposals.

Quote Products from Your HaloPSA Items List

What is it?

You can create a product data source from your HaloPSA items list allowing you to pull in product information from HaloPSA into your QuoteWerks Quotes.

How can it help?

  • Centralized Item Management: Manage your items list in HaloPSA and use items from that list to create quotes in QuoteWerks.
  • Enhanced Product Information: Pull in items from HaloPSA and then pull in additional product information from extended data sources like Etilize or Amazon Business.
  • New Item Management: When items are quoted in QuoteWerks and passed to a HaloPSA quote or opportunity, they are automatically created as entries in the HaloPSA items list.

How does it work?

When creating a quote, you can retrieve products and services from your items list in HaloPSA. Items quoted that do not exist in the items list will be automatically created in HaloPSA. This allows you to manage your products and services in HaloPSA but use them in your quotes and proposals using QuoteWerks.

Provide Quotes to Companies from Your HaloPSA Client List

What is it?

You can pull in Clients and Users from HaloPSA to be used as the sold-to, ship-to, or bill-to-contact on a QuoteWerks Quote.

How can it help?

  • Reduce Duplicate Entries: By managing your contacts in one location, you can ensure that data is always up to date and accurate.
  • Ensure Quote Accuracy: Automating the process of pulling in contacts to QuoteWerks quotes removes the need for manual data entry, reducing the potential for errors.
  • Ensure Quote Accuracy: Use customer-specific data on quotes using data links and by pulling in customer-related fields into quote layouts.

How does it work?

Query your HaloPSA Client and User list to pull in contacts to QuoteWerks quotes. New companies and contacts can be created in HaloPSA from within QuoteWerks. This allows you to manage your contacts in HaloPSA and easily add new ones for new prospects or leads.

Create and Update HaloPSA Opportunities

What is it?

Each time a quote is saved in QuoteWerks you have the option to create or update a HaloPSA opportunity. This can be a brand-new opportunity or linked to an existing opportunity in HaloPSA.

How can it help?

  • Optimized Sales Workflows: Automate opportunity creation to save sales reps the time it takes to toggle between systems.
  • Efficient Pipeline Management: Prompt sales reps to automatically create and update quotes at time of save to ensure opportunities are up to date and reflect real time forecasts. This ensures your sales pipeline is always up to date.

How does it work?

When creating a quote in QuoteWerks you have the ability to create a new opportunity or associate it with an existing opportunity in HaloPSA. You can input details about the opportunity and populate different opportunity fields which are passed over to HaloPSA. This allows you to build your workflows in a way that makes the most sense for your business.

Create and Update HaloPSA Quotes

What is it?

Each time a quote is saved in QuoteWerks, you have the ability to create or update a HaloPSA quote. This quote will contain all of the information from QuoteWerks, including contact information, product information, sales information, and more.

How can it help?

  • Ensure Data Accuracy: Eliminate the potential for errors by ensuring quotes accurately reflect information included in both the QuoteWerks quote and HaloPSA opportunity.
  • Quoted Product Visibility: By creating a quote in HaloPSA you are able to have it linked to the opportunity to provide line-item information for quoted products and services. This enables technicians not in a sales capacity to know what the customer was quoted.

How does it work?

In addition to creating opportunities, you can create a linked HaloPSA quote from your quote in QuoteWerks. Having the quote in addition to the opportunity allows you to view line-item information and review the profitability of the opportunity at a more granular level. The automation used to create these quotes ensures that information on the quote and opportunity is always in sync.

Save QuoteWerks Attachments with your HaloPSA Quotes and Opportunities

What is it?

When you create or update a HaloPSA quote or opportunity from a QuoteWerks quote, any attachments will be included on the HaloPSA quote and opportunity. This includes the PDF of the quote emailed to the prospect.

How can it help?

  • Documentation Consistency: Attaching information from QuoteWerks to the HaloPSA opportunity ensures all internal and customer-facing documentation is consistent and visible to all team members, regardless of which system the user is in.
  • Informed Decision Making: Having additional context about the opportunity, like RFQs, SOWs, network diagrams, and support agreements, empowers users to identify inaccuracies and make informed decisions about how to handle customer engagement.
  • Increased Collaboration: Regardless of the user’s department or access to QuoteWerks, they have access to the information they need. This makes it easy for different business units to collaborate and be assured knowing that everyone is working with the same documentation.

How does it work?

Opportunity and quote attachments are automatically added from the quote in QuoteWerks. This includes a PDF version of the quote, the quote in a native QuoteWerks quote format, attachments on the links tab, e-mails sent from QuoteWerks, and more.

What is it?

QuoteWerks can be configured to share non-standard field data across systems using Datalink. Field values can be pushed into or pulled out of HaloPSA.

How can it help?

  • Optimize Workflows: Regardless of what the information is that needs to be shared, Datalink is agile and provides the flexibility to support any workflow.
  • Improve Accuracy: Ensure information is accurate by automating the flow the flow of information between systems. This automation eliminates the potential for error associated with manual data entry.

How does it work?

The Datalink feature allows you to configure the sharing of non-standard and custom field information across the two systems. This is beneficial when you want to ensure specific information is pushed or pulled from HaloPSA and would like to use this information on quote layouts or other internal or externally facing documentation.

Create Sales Orders from Won HaloPSA Opportunities

What is it?

When a HaloPSA opportunity is converted to won, often at the time of quote conversion in QuoteWerks, you can choose to create a sales order based on the opportunity details.

How can it help?

  • Automated Order Conversion: Save time, effort, and reduce errors associated with manually creating sales orders from opportunities.
  • Unified Workflow: The integrated process of creating sales orders brings together the customer journey by providing processes by which users can manage the engagement from initial contact to order conversion.

How does it work?

You can choose to automate the creation of a Sales Order in HaloPSA when the opportunity is converted to won. This automation can avoid the need for manual entry, can reduce the potential for error, and ensure defined workflows are followed.

Support for HaloPSA Suppliers and Vendors

What is it?

When a new item is created in HaloPSA or retreived from HaloPSA into QuoteWerks, the vendor information is automatically included.

How can it help?

  • Comprehensive Supplier Management: Automatically pull supplier/vendor information, including SKU, Cost, and Price, directly from QuoteWerks.
  • Accurate Costing: Ensure that quotes reflect the correct supplier/vendor costs and prices, improving pricing accuracy.

How does it work?

If a HaloPSA Product has associated Suppliers, the QuoteWerks Line Item will be populated with the Halo Supplier’s details. This ensures that all relevant vendor information is included in your quotes.

Purchase Order (PO) Capture and Push

What is it?

The Purchase Order number in QuoteWerks is automatically sent to the PO field in HaloPSA. This can be entered by the SalesRep in the Quote or by the customer in QuoteValet.

How can it help?

  • Integrated Procurement: Streamline the purchasing process by capturing PO numbers during quote acceptance and pushing them directly to HaloPSA.
  • Accurate Record-Keeping: Ensure all purchase orders are accurately recorded and tracked within Halo.

How does it work?

The Purchase Order Number field in QuoteWerks/QuoteValet captures the PO Number during Quote Acceptance. This information is then pushed to the HaloPSA Opportunity, ensuring a seamless procurement process.
