New Features - Version 4.8 | ||
1. QuoteValet Shopping Cart.
Create online order forms with the QuoteValet shopping cart. Use them to automate customer re-orders or to receive paid orders from a promotional email blast. The QuoteValet Shopping cart is included, at no extra charge, in your QuoteValet subscription! It is easy to setup and use, simply 1) save/upload the order form, 2) grab the shopping cart URL, and then 3) email the shopping cart URL to your customer or include in your promotional email blast. It's that easy! Orders will appear in your QuoteValet Dashboard. Get used to coming into work each morning to an inbox full of paid orders from your QuoteValet Shopping Cart.
The QuoteValet Shopping Cart is great for many uses, but here are two in particular. First, with your established customer base, they probably routinely order consumable items from you, low dollar items that you probably don't make much money on. Use the QuoteValet Shopping Cart to automate this process. You simply setup a Shopping Cart OrderForm template that contains all the items your customer typically orders and then give them the QuoteValet Shopping Cart website URL to go to whenever they need to order these items and from that point on you will simply receive orders in your inbox. No more phone calls and emails trying to identify the correct items to re-order.
The other great way to use the QuoteValet Shopping Cart is to create an OrderForm for some kind of item, like a limited time special offer discount, like an HP Server, for example, and you can even set an expiration date on the OrderForm. Then you simple send out an email blast to all your customers pointing them to this Shopping Cart Order Form and simply put, you will have an order waiting for you in your QuoteValet Dashboard from anyone that was interested! 2. When placing Online Orders, the order is now saved in QuoteWerks and is available under the Purchase Order and Ordered Items tabs on the Purchasing window. [Build: 1] | ||
3. Procurement Tracking. For Online Orders placed through QuoteWerks with D&H, Ingram Micro, SYNNEX, and Tech Data, realtime order shipping updates are now available. You will receive realtime order status including line item shipping status, estimated ship date, ship date, warehouse fulfillment locations, shipping tracking numbers, product serial numbers, and more - all on a single screen in QuoteWerks.
Customers have higher and higher expectations everyday, if they get down to the minute order status updates from large $100 million a year company, they expect it from you too, and with QuoteWerks, you can deliver that!
How often do you get a call from your customer like "Where is that server I ordered?". Some companies have to pay a full time person just to keep up with order status requests. With the Procurement Tracking feature, you can spend less time tracking your orders and more time building your business.
Not only can you track order status, you can keep track of the actual fulfillment. Sure, you placed the order with 5 items on it, but has it shipped? Did all 5 items ship? Have you actually received all the items? UPS says it was delivered, but you don't have it. Do you have all the items you need for Customer ABC to do the job for them? You submitted one PO, but how many sales orders did the distributor split that into? All of these answers are now provided by QuoteWerks. [Build: 1] | ||
4. For QuoteValet users, there is a new Activity Notifications tab in the QuoteValet setup under the QuoteValet tab of the Tools->Options menu. For key QuoteValet events like when a QuoteValet Mobile quote is created, a quote is accepted, or when payment is made, in addition to the sales rep receiving email notifications, you can specify additional users/email addresses to receive a CC or BCC of the notification. This is especially useful for keeping the accounting department in the loop when payments are received and for keeping sales managers in the loop when quotes are accepted. [Build: 1] | ||
5. For QuoteValet users, uploading a quote to QuoteValet always requires that the customer electronically sign before you can collect payment. Now, if you start with an ORDER type of document in QuoteWerks and upload it to QuoteValet your customer can immediately provide payment without having to first electronically sign. [Build: 1] | ||
6. For QuoteValet Mobile users, volume priced items are now supported. [Build: 1] | ||
7. We have a new FedEx and UPS shipping rates integration enabling you to obtain real-time shipping quotes from your carriers. Use it to calculate your shipping costs, mark them up and pass them through to your customer. Choose from a grid of available services and pricing like Ground, Overnight, Two day, etc. You can also easily give your customers shipping option choices (complete with pricing) such as Ground, Overnight, etc. Requires the realtime module. You will need to have an account with FedEx or UPS to use this feature. The feature is setup under the Shipping tab of Real-time tab under the Tools->Options menu. [Build: 1] | ||
8. Azure product database support. You can now host your QuoteWerks Product Databases in the cloud through Microsoft Azure. If you have multiple QuoteWerks installations and want to keep the product databases up to date, you currently have to get the remote installations to synchronize on a regular basis. With the Azure support, you can just setup one or more QuoteWerks product databases to be hosted on Azure and then all the remote installations of QuoteWerks can simply use that same shared product database so there no longer is a need to synchronize the product database. We've made it really easy to move your QuoteWerks product database up to the Azure cloud, simply right click on a QuoteWerks native product database and choose "Upload/Migrate to Azure". Another great use for this feature is for manufacturers that have dealers or any company that wants to share their QuoteWerks price list with other QuoteWerks users. In this case the manufacturer creates an Azure QuoteWerks product database and then provides their dealers with the read-only credentials to this Azure database. It is that simple. The Corporate Edition is required for the Azure integration. [Build: 1] | ||
9. Our product content subscription (powered by Etilize) now has a new PartLocator service. Distributors add new parts to their websites daily and subscription services have a tough time keeping up with that pace. Now, QuoteWerks provides you with ALL the parts from your distributors D&H, Ingram Micro (USA and Canada), SYNNEX, and Tech Data (USA only). We've negotiated deals with the distributors to host their product data so as to provide our mutual customers with the best experience possible. [Build: 1] | ||
10. With Audit Trail Tracking, key events are recorded creating an audit trail of changes made to the document such as: a) when the document is saved b) who an email is sent from the quote, email address (to/subject/attachments), c) when the document is uploaded to QuoteValet for customer, peer review, approval, mobile template, d) when the document is updated with customers selections from QuoteValet, e) when the document is converted to an order or invoice, f) when the document is exported to QuickBooks or Peachtree, g) when the document approval is requested through QuoteWerks or QuoteValet, and h) when the document is approved through QuoteWerks or QuoteValet. The current date, time, and logged-in user is recorded along with the event. Using the "Audit Trail Transaction Record Macros" option under the Security tab of the Tools->Options menu you can choose what other information from the document you would like to record in the even such as GrandTotal, LineCount, DocStatus, etc. Also on the Security tab is a "Enable Audit Trail Backup files" checkbox. This will create a backup copy of the document (under the \History\AuditTrail folder) every time the document is saved. Under the File->Properties menu you can see the audit trail events and also a listing of the "Audit Trail Backup Files" and "Automatic Backup Files". [Build: 1] | ||

For Remote users, running the Professional or Corporate Editions of QuoteWerks, using the Synchronization wizard under the Utilities->Sync menu can now synchronize QuoteWerks folders, their subfolders, and the files within. The files on the remote can either be replaced or only updated with new or updated files. There are now also options to copy the site.ini and {username}.ini files out to the remote install for the initial rollout/setup, and there is also an option to synchronize the label customizations. The following folders under the QuoteWerks folder can now be synchronized: \Layouts, \Covers, \Literature, \Specs, \Images, \Reports, \Resources\Templates. [Build: 3] | ||
27. For QuoteValet users it is now possible to pre-populate OrderForm document fields via QueryString parameters. 31. For ConnectWise users, it is now possible to select whether or not to create individual products items for an opportunity right from within the Create/Update Opportunity Window. This is especially useful during the initial stages of creating the quote where you might not want to send all the items over to ConnectWise yet. On the ConnectWise Setup window, under the Forecast Lines Sub Tab of the Opportunities tab, there is an option "Default 'Create/Update individual product items' checkbox on the ConnectWise Opportunity Integration Window" which lets you set this default. You can also always force the creation of the items by checking the "Force the creation of Individual product items when 'Converting to' or Creating/Updating' an Order or Invoice" checkbox. 49. Grouped Bundles on the quote can now be converted to a single recurring monthly revenue amount (Recurring Groups). All the individual items in the bundle are totaled and then you can set an Annual Percentage Rate (APR) and a Term like 24 months. This calculates the monthly payment amount which the Group Header line will display in the UnitPrice field. There are some new macro fields to display information related to the Recurring Group which are "&GroupExtendedPricePreRecurring" and "&GroupExtendedPriceWithTaxPreRecurring". These macros will show the total amount of all the items in the grouped bundle before the total was converted to a monthly amount. They are available as columns on the Document Items tab and also in the print layouts. In addition to converting a grouped bundle to recurring in the Quote WorkBook, you can also setup Grouped Bundles and Grouped Configuration definitions to be recurring. 50. For QuickBooks users, when exporting items to QuickBooks there is now a QuickBooks ItemName auto-generation feature. In the simplest scenario you can setup the link to just use a QuoteWerks part number like the Manufacturer field as the QuickBooks ItemName. As a starting point the value from a specified field like the QuoteWerks ManufacturerPartNumber field is used. The auto-generation feature will allow for more than this when the InternalPartNumber or any CustomTextxx field is selected as the mapped field. This new auto-generation feature will allow for many scenarios of use, including the ability to maintain your own proprietary part numbers in QuickBooks and pull them from QuickBooks using the product data source link. You can even use the Etilize functionality in combination with your own proprietary parts in QuickBooks. There are 3 auto-generation options. With "Do not auto-generate", when exporting items to QuickBooks, if the mapped field is empty, this will stop and force you to specify your proprietary part number. If you pulled the part from QuickBooks, it will already have your proprietary part number from QuickBooks. This is useful when you have custom part numbers that are not based on any field or combination of fields. With "Do not auto-generate", when exporting items to QuickBooks, if the mapped field is empty, then you will be forced to manually specify an ItemName before proceeding. This is used when using your own proprietary part numbers. With "Auto-generate using macro:", when exporting items to QuickBooks, instead of just using a simple field value like the ManufacturerPartNumber to become the QuickBooks ItemName, you can choose to have the QuickBooks ItemName auto-generated using a macro like &DI_ItemType:&DI_ManufacturerPartNumber. With "Auto-generate using macro based on ItemType:", when exporting items to quickbooks, instead of just using a simple field value like the ManufacturerPartNumber to become the QuickBooks ItemName, you can choose to have the QuickBooks ItemName auto-generated based on the ItemType of the Item. So, for example if the ItemType is "Haas", then you can map to an auto-generation macro of "Haas:&DI_ManufacturerPartNumber, but if the ItemType is "Hardware" then you can map to an auto-generation macro of just "&DI_ManufacturerPartNumber". You can also set a value for "If any ItemTypes are not mapped use the following macro:" [Build: 5] | ||

For QuickBooks users, when linking to QuickBooks as a product data source, the QuickBooks Manufacturer field is now available for display in the product lookup and can also be mapped to a CustomText or ManufacturerPartNumber field in QuoteWerks. The manufacturer part number field is available in QuickBooks (SDK 7.0), QuickBooks USA 2008 and higher, QuickBooks AU/UK 2009 and higher. To have access to this new column, you will need to edit the QuickBooks Product Data Sources under the Products->Setup Product Data Sources menu and choose to include these new columns. 52. The Excel formatted Tech Data Price Quotation that you receive from your Tech Data sales rep can now be imported into QuoteWerks. If you have the QuoteWerks Real-time module and have entered Tech Data USA real-time credentials, a new "Import Tech Data Excel Quote" icon will appear above the DocumentItems grid. Just click on that and choose the Excel price quotation that you receive from your Tech Data sales rep and the quote will be imported into QuoteWerks. If you select a line in the quote before importing, the Tech Data price quote will be inserted above the selected line. If no line is selected then the quote will be imported at the end of the quote. The Tech Data quotation #, the shipping amount and the freight amount are inserted as a non-printing comment line for your reference. If there are any promo notes for the imported items they will appear in the Notes column for each line item. 55. The Open Document window (File->Open) has been re-designed. There are now new "My Recent Documents" and "All Recent Documents" menu bar items. These will show all the documents modified over the selected date range. Useful for quickly finding that quote you just created or modified, Today, Yesterday, This week, etc. The "My Documents" and "Documents" menu bar items bar items now have a new option to show "Active Quotes" or "All Quotes/Orders/Invoices", useful for pairing down active quotes that have not been converted to lost or converted to an order. "Active Quotes" are defined as a DocType=QUOTE and a DocStatus that does not equal the DocStatus value defined for a "Lost Quote". This is set on the Installation tab of the Tools->Options menu. Also, if a document has been converted to an ORDER or INVOICE then it will not be displayed in the "Active Quotes" list. From this "Documents" menu bar item you can also filter by a date range of when the quotes expire or a date range of the DocDate for the quotes. [Build: 5] | ||

When submitting an overridden price you can enter a reason such as a Tech Data sales rep quotation # or manufacturer special. When Tech Data receives an order that has prices specified, it automatically places the order on hold for sales rep review. QuoteWerks will pass the reason you specified in each line item so the Tech Data sales rep knows the reason for the non-standard price. QuoteWerks automatically sends the Tech Data sales rep an email letting him know to look for this order and to process it. The benefit is that now you can send over standard and specially negotiated price orders and even though it will flag the order to be manually reviewed, all the information will already be in the order without anyone having to re-type information. 63. For Ingram Micro online orders you can now choose to submit online orders to Ingram Micro overriding the distributor real-time price with your own distributor sales rep negotiated price. When submitting an overridden price you can enter a reason such as a Ingram Micro sales rep quotation # or manufacturer special. When QuoteWerks detects that non-standard pricing is being submitted, it submits the order to Ingram Micro with AutoRelease set to Hold. The Ingram Micro sales rep needs to be notified to look for the OnHold order so QuoteWerks automatically sends the Ingram Micro sales rep an email letting him know to look for this order and to process it. QuoteWerks will pass the reason you specified for the non-standard pricing as comment lines below each of the line items so the Ingram Micro sales rep knows the reason for the non-standard price. The benefit is that now you can send over standard and specially negotiated price orders and even though it will flag the order to be manually reviewed, all the information will already be in the order without anyone having to re-type information. 64. For SYNNEX online orders you can now choose to submit online orders to SYNNEX overriding the SYNNEX real-time price with your own SYNNEX sales rep negotiated price. When submitting an overridden price you can enter a reason such as a SYNNEX quotation #. Upon receipt of an online order with prices that do not match SYNNEX real-time they will be placed on hold and flagged for manual review by the SYNNEX sales rep to approve the prices. Also the Order level Special Instructions has been increased to 300 characters and can be used to remind the sales rep of the reason for your non-standard price. The benefit is that now you can send over standard and specially negotiated price orders and even though it will flag the order to be manually reviewed, all the information will already be in the order without anyone having to re-type information. 65. For D&H online orders you can now choose to submit online orders to D&H overriding the distributor real-time price with your own distributor sales rep negotiated price. D&H does not support online order comment lines or allow for a unit price to be specified. QuoteWerks will list in the online order's REMARKS field the list of part numbers that have the non-standard price. This will flag the order to be manually reviewed. QuoteWerks will also automatically send the D&H sales rep an email letting him know to look for this order that contains non-standard pricing and to process it. The e-mail will include a reference to the part numbers and the non-standard pricing. The benefit is that now you can send over standard and specially negotiated price orders and even though it will flag the order to be manually reviewed, all the information will already be in the order without anyone having to re-type information. 66. The QuoteWerks Product Content Subscription now returns the List Price from the QuoteWerks PartLocator service if List Price is not returned through the distributor's real-time Pricing & Availability system. The PartLocator currently stores list price for Tech Data (USA, Canada), Tech Data UK (Computer2000), Ingram Micro (USA, Canada, Australia), SYNNEX (USA), D&H (USA), and BlueStar (USA). 67. When doing an Etilize search you can type in, for example, "mouse USB optical not(keyboard)" to search for USB optical mouse that does not have the word "keyboard" in the results. [Build: 5] | ||
68. When a part number is found in an Etilize search, but the distributor part numbers are missing, QuoteWerks PartLocator will find them using the PartLocator data. When part numbers are not found through an Etilize search, it is typically because the part numbers require authorization to purchase.
