How does a remote location with a notebook computer work with QuoteWerks? Solution: NOTEBOOKS AND REMOTE LOCATIONS Notebooks are an integral part of a sales force in today's business environment. To meet those needs QuoteWerks has several features designed to integrate the external and internal sales force. Notebooks can be configured to be stand-alone units that never directly access a "central" office location through a network connection or they can be configured to operate both as a stand-alone unit and as a network workstation. Network Installations with remote notebooks. The following is an overview of the procedure required to setup remote notebooks to work in conjunction with a network installation of QuoteWerks: 1. Install QuoteWerks on your network following the network installation instructions in the Installation chapter. 2. Run the network installation and setup the security options for all of the notebook users (and the rest of your users) under the Utilities > User Maintenance menu (see the User Maintenance chapter for details on user security settings). 3. While running the network installation, create Remote PC/Site license keys for all of your remote laptop users via Utilities > License Manager. Follow the instructions in the Licensing and License Distribution Chapter (Chapter 28 of the manual) for details on how to do this. 4. Install QuoteWerks on the notebook as a new, full installation. When it asks for a License Key, you will need to enter the remote user license key that you created for it. Next, you will copy the security.mdb security database from the network installation to the notebook's installation. The instructions below outline the procedures for setting up a remote notebook installation. Configuring a notebook to run QuoteWerks while away from the office. These are instructions to setup a notebook that never physically comes back to the main office so that it will be able to run QuoteWerks away from the office, and also be able to synchronize quotes through some communication method such as e-mail, dial-in etc. 1. Install a full copy of QuoteWerks on the notebook into the C:\Applications\QuoteWerks directory. 2. When starting this new installation for the first time, it will ask for a License Key. You will need to enter a remote user License Key that you obtain from your master network installation. After you do this, QuoteWerks will exit. 3. Now that a remote user License Key has been entered on this notebook, it has become part of the master installation. As such, you will need to copy the security.mdb security database from the master installations \QuoteWerks directory into your notebook's \QuoteWerks directory, thereby replacing the security.mdb database that is already on the laptop. 4. The notebook is now part of the master installation, and will be authorized to synchronize information with the master installation. Note: When the remote user License Key is entered into the notebook installation, that License Key is used to generate a 4 letter unique prefix that will prefix the document number sequences on that notebook. This ensures that all the notebooks have their own unique location prefix which ensures that document numbers will not be duplicated by different users. For this reason, it is extremely important that the same remote user License Key is not used on more than 1 notebook. If it is, the notebooks that have been incorrectly setup with the same remote user License Key will overwrite each others documents. Also, if a remote user notebook installation of QuoteWerks ever needs to be reinstalled (for example, because the hard drive crashed), you will need to take steps to increase the starting number sequence of that new remote user notebook installation since a fresh installation will start generating document numbers that have already been used. It is always preferable to be able to restore the QuoteWerks installation from a backup rather than to install a fresh copy. NOTE: If you want your sales people to have the same products and bundles, configurations, substitution products, required products, and optional products as your office location, copy the QuoteWerks\relations.mdb file and the product database file (normally QuoteWerks\products.mdb) to the notebook's \QuoteWerks directory. For a complete listing of all the QuoteWerks database and print layout files so that you can determine which files you will need to copy, see the QuoteWerks System Files appendix. Be careful not to overwrite any data the salesperson may have setup. Configuring QuoteWerks to run on a notebook while away from the office, and to run the network copy when it is in the office. These are instructions to setup a notebook that will run a notebook installation of QuoteWerks when it is away from the office, and then run the network installation of QuoteWerks when it comes back into the office and physically connects to the network. While the notebook is away from the office, it will be able to synchronize quotes through some communication method such as e-mail, dial-in etc. 1. Install a full copy of QuoteWerks on the notebook into the C:\Applications\QuoteWerks directory. 2. When starting this new installation for the first time, it will ask for a License Key. You will need to enter a remote user License Key that you obtain from your master network installation. After you do this, QuoteWerks will exit. 3. Now that a remote user License Key has been entered on this notebook, it has become part of the master installation. As such, you will need to copy the security.mdb security database from the master installation's \QuoteWerks directory into your notebook's \QuoteWerks directory, thereby replacing the security.mdb database that is already on the laptop. 4. The notebook is now part of the master installation, and will be authorized to synchronize information with the master installation. 5. When the notebook is connected to the network, create a shortcut on the notebook's desktop that points to the network QuoteWerks installation's \QuoteWerks\qw.exe program file. Now, the notebook user can run the network version of QuoteWerks simply by using the network icon, and can run the notebook version of QuoteWerks by using the icon on the notebook. When a QuoteWerks remote user license is split off from the master installation and installed on a notebook, the number of users that are allowed to login to the master installation of QuoteWerks is reduced by one. When the laptop connects to the network, and logs into the network version of QuoteWerks, the laptop license will be used rather than one of the available network licenses. Under the ToolsOptions menu of the laptop installation of QuoteWerks, there will be a Remote tab. This tab will allow you to specify the location of the QuoteWerks installation on the notebook. This setting is automatically set when you enter a remote user License Key into the notebook installation. If you ever need to change this setting, it can be changed here. If this laptop will never be physically connecting to the network, leave this setting blank. NOTE: When a notebook has been configured to run both a notebook copy and a network copy of QuoteWerks, it is important to keep in mind that when you are running the notebook copy, any settings or user preferences that you change will only be saved for the notebook copy. If you then start the network copy, you will need to apply those changes to that version also. |
