After you have correctly setup your “Master” installation of QuoteWerks, and the Remote PC or Remote Site installations of QuoteWerks, you can share your quotes between these installations using some contact manager’s synchronization features.
If you use ACT!, GoldMine, MS CRM, Saleslogix, or salesforce.com and have set up their synchronization features (no synchronization setup is needed for MS CRM, salesforce.com, Autotask and ConnectWise since they are web based), after you run their synchronization process you can run the QuoteWerks Utilities -> Merge Remote Documents utility. After this utility has run, you can open up quotes created by other installations of QuoteWerks by going to the contact in the CRM software and double-clicking on the QuoteWerks document link for that contact. You can also select the QuoteWerks File -> Open menu, and search for the quote. When you open the quote, QuoteWerks will check for an updated DTF file and if the data in the file is newer, the quote in the database will be updated and then opened.
If you are a GoldMine contact management software user, but have chosen not to setup the GoldMine synchronization features refer to Document Transport Features for details on how to send and receive quotes created at different QuoteWerks installations.
If you are an ACT!, Maximizer, or Outlook user, refer to Document Transport Features for details on how to send and receive quotes created at different QuoteWerks installations.
Enable the Look for synchronized data in dtf files Option in QuoteWerks
If the Look for synchronized data in dtf files checkbox on the Synchronization tab of the Tools -> Options menu is checked, then whenever QuoteWerks opens a quote it will analyze the associated DTF file referred to in the CRM software’s linked document to see if it needs to be synchronized. If you will not be synchronizing remotely created quotes using the CRM software’s synchronization feature, uncheck this option to speed up the process of opening quotes. When this option is checked, the “Create or Update Linked Document” option will always be checked (and disabled to prevent deselection) on the File -> Save window. The reason for this is that since QuoteWerks is configured to look at the contents of the DTF files when opening quotes, it makes sense to force users to always update the DTF file whenever saving the quote.
